01Short answer: the price ranges

There is no official price list for social media in Poland — every freelancer and agency builds packages differently. But public price guides from Polish sources point to fairly consistent ranges. A small business with 2 platforms and about 3 posts a week pays roughly 800–1 500 PLN to a freelancer and 1 500–3 000 PLN to an agency. With more platforms, Reels and paid campaigns, agency fees rise to 4 000–8 000 PLN, and full service for a larger brand can go above 15 000 PLN a month.

All amounts below are net, so add 23% VAT if you’re invoiced by a VAT-registered company. And remember: the management fee and the advertising budget are two separate lines.

3–4 platforms, 12–20 posts, Reels, ads, photo/video day3 000–6 000 PLN5 000–10 000 PLN
4–5 platforms, daily content, full ads and moderation5 000–8 000 PLN10 000–15 000+ PLN

The ranges are compiled from Polish price guides by Harbingers, NapoleonCat and KB.pl (see sources). NapoleonCat also lists single-platform agency plans for Instagram + Facebook from about 500–1 000 PLN for a basic 4–6 posts up to 2 000 PLN+ for 10+ posts and several campaigns — so very cheap offers exist, but the scope is narrow.

02Freelancer vs agency vs in-house

  • Freelancer — the cheapest option and often very flexible. The risk: one person rarely does strategy, design, video, copy and ads equally well, and holidays or illness stop everything.
  • Agency — a team (strategist, SMM manager, designer, ads specialist), processes and reporting. You pay more, but you get continuity and several skills under one contract.
  • In-house specialist — according to NapoleonCat, a social media specialist in Poland typically earns around 7 000–9 000 PLN a month, plus employer costs, tools and production. It makes sense when you need someone on site every day.

03What a monthly fee usually includes

When comparing offers, put them side by side line by line. A good monthly package for a small or medium business usually covers:

  • Strategy — goals, target audience, tone of voice, content pillars. Often a one-off at the start, then reviewed quarterly.
  • Content plan and copywriting — a monthly calendar approved by you, in the languages you need (PL, EN, RU).
  • Posts and graphics — the number per month is the main price driver.
  • Stories and Reels — short video is now the main reach format on Instagram, Facebook and TikTok, and it takes the most time.
  • Community management — replying to comments and DMs, moderation. Check the response hours.
  • Ads setup — audiences, creatives, pixel/Conversions API, campaign optimisation.
  • Reporting — a monthly report with numbers and conclusions, ideally with a short call.

04Ad budget and content production — the two hidden costs

Ad budget. The money you spend on Meta or Google Ads goes straight to the platform and is not part of the management fee. NapoleonCat suggests about 300–500 PLN a month for a basic setup and from 600–1 000 PLN for wider campaigns; some agencies charge a 10–30% commission on the budget instead of, or on top of, a fixed fee. For lead generation in a competitive Warsaw niche, budgets of a few thousand PLN a month are common.

Content production. Stock photos and Canva templates are cheap, but real photos and videos of your team, products and place work far better. Production is priced separately or included as “photo/video days”. For reference, KB.pl gives an average of about 720 PLN net for a basic business photo session in Mazowieckie and about 47 PLN per packshot. A full day of Reels filming plus editing usually costs more, depending on crew and number of videos.

05What results to expect in 1, 3 and 6 months

  • Month 1 — setup Audit, strategy, visual templates, content plan, ads account and tracking. Expect a tidy profile and the first data, not a flood of clients.
  • Month 3 — first conclusions Enough content and campaign data to see which formats, topics and audiences work. Ads should already bring measurable leads or sales at a known cost.
  • Month 6 — stable system A recognisable profile, an engaged audience, a predictable cost per lead and a content machine you can scale up or down.

This is why most agencies, us included, ask for a 3-month minimum. Organic growth is slow by nature; paid campaigns are faster, but they need a few weeks of testing too.

06How to measure SMM: KPIs that matter

  • Reach and impressions — how many unique people saw your content.
  • Engagement rate — reactions, comments, saves and shares relative to reach, not to follower count.
  • Profile actions — website clicks, calls, route requests, DMs.
  • Leads and sales — form submissions, bookings, orders attributed to social media.
  • Ad metrics — CPM, CTR, cost per lead (CPL) or cost per purchase, and ROAS for e-commerce.
  • Follower growth — useful, but only if the new followers are real people from your target audience.

07Red flags when choosing a contractor

  • Buying followers or likes. Bots don’t buy anything, Instagram regularly removes fake accounts, and a profile with 10 000 followers and 20 likes per post looks suspicious to real customers.
  • No reporting or reports with only “likes” and no conclusions.
  • The ad account is owned by the contractor, not you. Always keep admin rights to your Business Manager, pixel and pages.
  • Guaranteed numbers like “+5 000 followers in a month”.
  • No defined scope — “we’ll post regularly” instead of a number of posts, Reels and Stories.
  • Ad budget mixed with the fee on one invoice without a breakdown.

09Questions & answers

Is the ad budget included in the social media management price?

Usually not. The fee covers the work — strategy, content, campaign setup and reporting — while the ad budget is paid directly to Meta or Google. Some contractors take an additional 10–30% commission on the budget.

How much does Instagram management alone cost in Poland?

A basic Instagram (often with Facebook) plan with 4–8 posts a month typically costs 500–1 500 PLN net with a freelancer and 1 000–3 000 PLN with an agency. Reels, ads and moderation push the price up.

How long should I commit to an SMM contractor?

At least 3 months. The first month goes into setup, and it takes another 2 months of content and campaign data to judge what actually works.

Can I run social media myself and only outsource ads?

Yes, and it’s a sensible budget option. Just make sure the person running ads gets good creatives — weak content makes ads expensive.
